The Context & The Problem

In a fast-paced academic environment, administrative efficiency is key. However, the Information Technology Program at UIN Ar-Raniry was still facing challenges with its mail management system, which relied heavily on conventional methods. All incoming and outgoing mail was manually logged in a physical agenda book a process that was not only time-consuming but also highly prone to human error.

This inefficient process often led to difficulties in tracking and retrieving archived documents. The core challenge was to design a digital platform that could transform this manual process into an integrated, fast, and reliable system.

Understanding the User & The Problem

To ensure the solution was genuinely user-centered, I began the project with in-depth user research. My approach included:

  • Observation: Directly observing the administrative staff's workflow to understand the existing process and identify key friction points in their daily tasks.

  • In-Depth Interviews: Speaking directly with the future users to gain deeper insights into their frustrations, needs, and expectations for a digital system.

The findings from this research were synthesized into a User Persona to humanize the data and keep the design process focused on the user.

Key Pain Points Discovered:

The research process identified three critical issues consistently faced by the staff:

  1. Difficulty Retrieving Archives: Staff found it extremely difficult to locate previously archived mail, which often hindered their workflow.

  2. Duplicate Data Entry: There were several instances where the same incoming letter was logged multiple times, indicating inefficiency and a lack of data visibility.

  3. Conventional Process: The reliance on a physical logbook made the entire process slow and ineffective for modern administrative needs.

The Design Process & Solution

With a clear understanding of the problem, I designed a digital solution with the primary goal to "simplify the archiving process and make it easier to find stored documents."

1. Information Architecture & User Flow The first step was to map out the entire application structure in a logical Information Architecture. This became the foundation for building an intuitive navigation system. Next, I designed User Flows for every critical task, ensuring a seamless and efficient user experience from start to finish.

2. Wireframing & Visual Design From that blueprint, I began building the visual framework through low-fidelity wireframes. This stage was focused on defining the layout and core functionality without the distraction of visual elements.

Once the basic structure was set, I developed a comprehensive Design System including a color palette, typography (Inter), and other UI components to ensure consistency across the entire platform. This system was then applied to create a clean, functional, and modern High-Fidelity Design.

Validation & Iteration

A design is incomplete without user validation. I built a clickable interactive prototype to simulate the real user experience of the application.

This prototype was then tested in Usability Testing sessions with 5 participants using the Heuristic Evaluation method. The results were highly positive:

  • The average usability score reached 85.3%, categorized as "Excellent".

  • Indicators like "Visibility of system status" and "Match between system and the real world" scored high at 88%.

  • Constructive feedback was received for the "Help and documentation" area (72%), which provided valuable insights for future improvements.

Final Outcome & Reflection

E-Surat TI is a digital solution designed to directly solve the administrative inefficiencies within the Information Technology Program. With its clear interface and optimized workflow, the application meets the user's need to archive and retrieve mail quickly and efficiently.

This project served as a crucial reminder that great design begins with a deep understanding of human problems. By following a structured design process from research and ideation to validation we can create digital products that not only function well but also deliver a tangible, positive impact for their users.
