SINTA (ICT Asset and Inventory System) is an integrated web platform I designed and built from scratch to tackle the inefficiency, lack of transparency, and data fragmentation in the daily operations of an ICT team at a mining company.



The Context & The Problem: The Chaos of Manual Processes
Before SINTA was developed, the ICT team's operations heavily relied on fragmented, manual processes. Data was scattered across various excel files, google sheets, and communications were handled via whatsapp and phone calls. This environment created a series of chronic issues:
Ineffective Monitoring: To monitor vital assets like mobile towers, CCTV, and VHMS, the team had to access multiple separate sources, even requiring manual VNC logins, which was incredibly time-consuming.
Untraceable Issue Reporting: Complaints and issue reports from other departments coming through whatsapp or phone calls were often missed, responded to slowly, and left no audit trail. Follow-up tasks were frequently forgotten due to the lack of a centralized record.
Complex Task Management: Supervisors had to create daily work schedules in excel and then manually share them in a group chat. Work reports from team members were submitted via a google sheet that was prone to data corruption due to its large volume.
Slow Administrative Processes: Creating official asset handover documents (BAST) was a convoluted process, requiring admins to switch between excel for data and word to print from a template.
Error-Prone Asset & Inventory Tracking: Answering simple questions like "who is using this laptop?" or "how many mice are left in stock?" was a major challenge. The data in excel was often outdated and its history was difficult to track.
Project Goals: Creating a Single Source of Truth
The SINTA project was initiated with one primary objective: to build a centralized web platform a single source of truth that could integrate the entire operational workflow of the ICT team. The key success metrics were:
Centralization: To unify all monitoring, reporting, task management, and inventory processes into a single dashboard.
Efficiency & Automation: To reduce the time wasted on manual and administrative tasks.
Transparency & Accountability: To ensure every report and task could be tracked in real-time by all relevant stakeholders.
The Solution & Key Features: Building the SINTA Digital Ecosystem
As the solution, I built SINTA with a series of features that directly addressed each identified problem:
(Feature 1) Centralized Monitoring Dashboard: A monitoring page that integrates data from CCTV & mobile tower APIs and automatically checks VHMS data. Management can now view the status of all vital assets on a single screen.
(Feature 2) Structured Ticketing System: A reporting feature where any department can create a ticket with a unique status, a complete history, and notifications, ensuring no report is ever missed.
(Feature 3) Task & Work Report Management: Supervisors can create, assign, and monitor the status of jobs for each team member directly from the system.
(Feature 4) Automated Handover Document (BAST) Generator: The admin simply needs to input the handover data, and the system automatically generates a professional PDF document based on the company's template.
(Feature 5) Smart Asset Tracking & Inventory Management: A module to log all IT assets, track their assigned users, and manage inventory with real-time stock levels.
Results & Impact: Measurable Efficiency and Control
The launch of the SINTA web platform brought significant changes to the ICT team's workflow:
Increased Time Efficiency: Processes that previously took hours, such as creating work report summaries or BAST documents, can now be completed in minutes.
Full Transparency & Accountability: All tasks and reports now have a digital trail, allowing management to easily track ongoing work and other departments to see the status of their reports.
Guaranteed Data Integrity: With a centralized database, issues like unsynchronized or corrupted data were eliminated, leading to high confidence in the asset and inventory data.
My Learnings
Building the SINTA project single-handedly was an incredibly valuable challenge. I learned that the key to a successful digitalization project is a deep understanding of user workflows before writing a single line of code. This project solidified my interest in not just building software, but in designing solutions that solve real-world problems and deliver a positive business impact.
